Updates in the Cockpit for Administrators

Management of Course Types

  • Course types can now be completely independently managed in the cockpit, and only for your version/institution, and assigned with a color code.
  • A course in the course catalog can still be assigned to exactly one course type.
  • Deactivated course types are not deleted, but are no longer displayed for selection when assigning to courses or for filtering courses in users' course catalog

Management of Tags

  • Courses can also be organized with so-called "tags". Both course types and tags are available to users for filtering in the course catalog. Tags are freely selectable, and multiple tags can be assigned per course.
  • Examples of tags
    • Academic years/semesters, e.g., M1-HS, M1-FS
    • For courses in an introduction checklist: e.g., "Introduction" tag
    • Types of continuing education, e.g., "Internal", "External", "e-Learning"
    • Marking whether mandatory or elective: "Elective", "Mandatory"
  • Deactivated tags are not deleted, but are no longer displayed for selection when assigning to courses or for filtering courses in users' course catalog

Updates in Course Management

  • No more short titles. Since courses are no longer displayed to users in a hexagonal style but in list format, we can do away with the tedious "invention" of short titles. The title is sufficient.
  • "Cohorts" are no longer relevant for the course catalog. Since course types and tags are available for organization, users can independently filter courses from a specific semester/tag in the course catalog.

→ Important: Configure course types and tags for all courses according to your requirements!

  • Courses can now be marked as "immutable". For these, users can only adjust the start and end dates and add their own notes when documenting. For official course catalogs, this will likely be the default setting. Conversely, those not marked as immutable are customizable by users.
  • Courses can now be marked as "repeatable". These can be added multiple times by users and serve, for example, as templates for documenting regular continuing education (e.g., "Wednesday Training"). If they are not marked as "immutable", users can also adjust the title and description during documentation to reflect the specific content
  • New QR codes: The old QR codes still work, but the newly retrievable QR codes represent complete URLs and can therefore also be opened with the phone's camera app without first opening preparedEPA. Users go directly to the course detail page for documentation. It's recommended to distribute the new QR codes so users can benefit from scanning via camera app.
  • Tip: you can recognize the new QR codes because they look somewhat "more complex":





Changes to the Course Catalog NO LONGER Affect Already Documented Courses

  • The courses documented by users are now stored individually. Information (such as course name) is taken from the currently valid entry in the course catalog
  • If the course is later adjusted in the course catalog (e.g., to accommodate new semester conditions), the documentation of users linked to this course will NO LONGER be adjusted
  • You can think of the course catalog as a catalog of "templates" for documentation. The storage of certificates with users based on these templates then occurs independently.
  • Depending on the "immutable" setting, the information can still not be adjusted by users during capture or later editing
