Document Courses and Structured Training Time

With the preparedEPA App, you can easily, flexibly, and transparently document structured training and continuing education time directly in your ePortfolio.

The ePortfolio

Navigate to the ePortfolio to document any type of course or training/continuing education activity.

✍ Two Ways to Add Courses

There are two options for documenting courses:

1. 🔍 Add Course from the Course Catalogue
   Your institution can maintain a central course catalogue via the Cockpit. You can select these courses from a list under "Upcoming Courses".
   

2. 📝 Add Custom Courses Yourself
   You can also independently document courses—such as external seminars, lectures, or individual training events. To do this, click on "New Course" under "My Courses".
   

⏱ Enter Training Time or Credits

You can choose to enter:

• Time (in hours/minutes), or

• Credits

🧮 1 Credit = 45 minutes of structured training

The app automatically converts between time and credits. You can switch between modes at any time.

📸 Record Participation Confirmation (Attestation)

At the end of a structured training (e.g. course, seminar, workshop), you can confirm your participation directly in the app. Several options are available:

1. Scan a QR code – either from the course itself or from the instructor who led the course

2. Capture the instructor’s signature directly on your smartphone

3. Take a photo of the instructor’s badge

4. Upload a certificate or confirmation document (PDF or image)

➡️ All methods allow for simple and secure confirmation of your participation. If the course is listed in the course catalogue, its details will be automatically filled in when the QR code is scanned.

ℹ️ Alternatively, you can save courses without immediate confirmation and add the attestation later. Such courses are shown in the ePortfolio as dark-bordered hexagons and can be fully confirmed later.
